*Job Description*
Max Cold Storage is seeking an Office Manager to perform a variety of administrative tasks and direct support to the managing husband and wife owners for all companies.
The Office Manager is responsible for the efficient functioning of the team and a range of administrative, financial, and managerial tasks.
This position requires an assertive personality with excellent organizational, communication, and leadership skills with a willingness be challenged and adapt to fluid situations.
*Responsibilities include but not limited to:*
* Oversee the daily operations of the office, ensuring all administrative tasks are completed accurately and efficiently
* Maintain confidentiality of sensitive information and handle it with discretion
* Manage all HR functions, recruitment, hiring and onboarding process of employees
* Perform bi-weekly and seasonal payroll
* Perform some bookkeeping, accounts payables/receivables and other financial transactions
* Assist in preparing financial reports for management
* Record-keeping and maintenance of annual documents and renewals (i.
e.
policies, licenses, permits, etc.
)
* Organizing, coordinating and serving as a point of contact between owners and all team members
* Maintaining and creation of company and project calendars, tracking deadlines and meetings and minutes
* Implementation of office equipment and software for efficiency and troubleshoot basic IT issues
* Provide leadership and guidance to all team members
* Promote a safe, enjoyable, positive and productive work environment
* Cross training for team coverage; knowledge of products, customer service and pick and pack production
*Qualifications:*
* Proven 10 years' experience as an office manager, executive assistant or administrative assistant
* Proficient in QuickBooks, MS Excel/Word and Google Drive or other cloud storage
* Hands on experience/basic knowledge of office technology (i.
e.
printers, computer networks, etc.
) and basic understanding of website/ecommerce functions
* Excellent written and verbal communication and interpersonal skills
* Excellent organizational skills, time management skills and ability to multi-task and prioritize work to meet deadlines both independently and as a team
* Attention to detail, problem solving skills and awareness of all variables for evaluating, creating data and making decisions and processes
* Familiarity with human resources practices and principles
* Consent to background check is required
