*Position Summary:* Provide administrative assistance to the Vice President of Human Resources in executing the duties of the department by accurately maintaining the checkbook, tracking incident claims, answering phone calls and completing assigned reports.
*Duties:* * Accurately maintain the checkbook for the HR Department, including paying vendors timely, setting up new vendors, entering and maintaining quotes for pricing, appropriating funds as needed, tracking payments to completion and communicating with partners regarding billing questions * Track, coordinate and process payments for incident claims * Serve as the primary point of contact for ordering flowers, booking hotel rooms and tracking payments related to company events * Greet guests, applicants, employees, retirees and officials warmly and professionally and quickly help guide them to the correct location * Help coordinate the flow of applicants in our lobby by ensuring sign-ins, printing applications, providing an application for them to complete, if needed, and alerting the HR Manager when their applicant is ready * Answer phone calls with professionalism, addressing questions, taking down notes or transferring to the correct contact as needed * Assist as needed with the onboarding of new employees by putting together welcome folders, copying and scanning forms of ID, etc.
